These Terms of Service explain the rules for using SchoolScreen during our closed private beta.

Please read these Terms carefully before using SchoolScreen.
By creating an account, accepting these Terms, or using SchoolScreen, you agree to these Terms.
> Important: These Terms are a working closed-beta draft and should be reviewed before any wider public or paid launch.

In these Terms:
- “SchoolScreen”, “we”, “us” and “our” mean the operator of the SchoolScreen service.

2. Closed beta status
SchoolScreen is currently a closed private beta.
Access is by invitation, admin-created account, or approved registration only.
During the beta:
- the Service is experimental;
- features may change without notice;
- some features may be incomplete;
- the Service may contain bugs or errors;
- data may be reset or deleted where necessary for testing, security, maintenance or development;
- availability is not guaranteed;
- there is no service level agreement;
- we may suspend, limit or end the beta at any time.
We will try to give reasonable notice before significant changes or data resets where practical, but we may not always be able to do so.
---
3. Eligibility and accounts
You must provide accurate account information and keep it up to date.
You are responsible for:
- keeping your login details secure;
- not sharing your account with anyone else;
- using a strong password;
- telling us promptly if you believe your account has been compromised.
You must not:
- create an account using false information;
- impersonate someone else;
- allow another person to use your account;
- attempt to access another user’s account, screens or data.
We may suspend or close accounts where we reasonably believe there has been misuse, security risk, breach of these Terms, or unauthorised access.
---
4. Teacher and classroom use
SchoolScreen is designed as a classroom screen and teacher productivity tool.
You are responsible for how you use the Service in your classroom or professional setting.
You should use your professional judgement when displaying content to students or others.
SchoolScreen is not a substitute for:
- safeguarding systems;
- behaviour management policies;
- school management information systems;
- professional teaching judgement;
- legal, compliance or data protection advice.
---
5. Student and class information
Some SchoolScreen features may allow you to enter student names or class-related information, for example in tools such as My Class, seating plans, random name tools or group makers.
You are responsible for ensuring that you have an appropriate basis and authority to enter any student or class information into SchoolScreen.
You should:
- enter only the minimum information needed;
- avoid entering sensitive information unless it is strictly necessary and properly authorised;
- avoid entering special category data, safeguarding information, medical information or confidential school records unless we have explicitly agreed that the Service is suitable for that purpose;
- avoid displaying personal information on a classroom screen where it would be inappropriate to do so.
During the individual-user beta, SchoolScreen does not provide student accounts and is not intended to be used as a student records system.
---
6. Acceptable use
You must use SchoolScreen lawfully and responsibly.
You must not:
- use the Service for unlawful purposes;
- upload, enter or display content that is unlawful, abusive, discriminatory, defamatory, obscene, harmful or otherwise inappropriate;
- upload malware, scripts or harmful code;
- attempt to bypass authentication, permissions or security controls;
- probe, scan, stress-test or attack the Service without our written permission;
- interfere with the operation of the Service;
- use the Service to send spam or unsolicited marketing;
- use the Service in a way that could harm us, other users, students, schools or third parties;
- reverse engineer, copy or exploit the Service except as permitted by law;
- use the Service in a way that breaches these Terms or our policies.
We may remove content or suspend access where we reasonably believe these Terms have been breached or where there is a security, legal or safeguarding risk.
---
7. User Content
You keep ownership of the content you create or enter into SchoolScreen.
You give us a limited permission to host, store, process, display and transmit your User Content only as needed to provide, maintain, secure and improve the Service.
You are responsible for your User Content, including ensuring that:
- you have the right to use it;
- it does not infringe anyone else’s rights;
- it is appropriate for classroom or professional use;
- it does not contain unnecessary personal data;
- it does not contain sensitive or confidential information that should not be entered into SchoolScreen.
We do not claim ownership of your User Content.
---
8. Feedback and beta suggestions
During the beta, you may provide feedback, ideas, bug reports or suggestions.
You agree that we may use this feedback to improve SchoolScreen without owing you payment or creating any obligation to implement your suggestion.
If your feedback includes screenshots or examples containing personal data, you should minimise or remove that personal data where possible before sending it to us.
---
9. Privacy and cookies
Your use of SchoolScreen is also governed by our:
- [Privacy Policy](/privacy)
- [Cookie Policy](/cookies)
The Privacy Policy explains what personal data we process, why we process it, how long we keep it, and your rights.
The Cookie Policy explains the cookies and similar technologies used by SchoolScreen.
During the closed beta, we aim to use only technically necessary cookies for login, security and remembering cookie notice preferences. If this changes, we will update the Cookie Policy and, where required, ask for consent before using non-essential cookies.
---
10. Marketing emails
We may ask whether you would like to receive occasional SchoolScreen product updates or beta feedback emails.
Marketing email consent is optional.
You do not have to agree to marketing emails in order to use SchoolScreen.
If we ask for marketing consent, it will be separate from acceptance of these Terms and will not be pre-selected.
You can withdraw marketing consent at any time by using the unsubscribe option provided, changing your preferences where available, or contacting us.
We may still send necessary service emails, such as account, security, password reset, legal, beta access or important operational messages.
---
11. Charges and payment
The closed beta is currently provided free of charge unless we agree otherwise with you in writing.
We may introduce paid plans, subscriptions or charges in the future.
If we introduce paid features, we will provide separate information about pricing, payment terms, cancellation rights and any additional terms that apply.
You will not be charged unless you have been told about the charges and have agreed to them.
---
12. Availability and changes to the Service
We aim to keep SchoolScreen available, but we do not guarantee that the Service will always be available, uninterrupted or error-free.
We may change, suspend or withdraw any part of the Service.
We may carry out maintenance, updates, security changes or emergency fixes.
During the beta, we may make frequent changes to features, data structures, screens, panels and workflows.
---
13. Data export, deletion and beta resets
During the closed beta, export and deletion tools may be limited or incomplete.
You may request account closure or deletion of your data by contacting us.
We will handle deletion requests in line with our Privacy Policy, retention schedule and legal obligations.
Because this is a beta service:
- data may be reset where needed for development, testing, security or maintenance;
- we may not be able to restore deleted or reset data;
- you should not rely on SchoolScreen as the only copy of important content.
You should keep your own backup of important screen content, classroom materials or configuration information.
---
14. Intellectual property
SchoolScreen, including its software, design, branding, interface, icons, documentation, features and underlying technology, is owned by us or our licensors.
You may use SchoolScreen only as permitted by these Terms.
You must not copy, reproduce, modify, distribute, sell, lease, sublicense or exploit SchoolScreen except as allowed by these Terms or by law.
You retain ownership of your User Content.
---
15. Third-party services
SchoolScreen may use third-party providers to operate the Service, such as hosting, email, domain, DNS, backup, security or support providers.
We are not responsible for third-party services that we do not control, but we will take reasonable steps to use appropriate providers for the Service.
Where third-party links or embedded content are used within SchoolScreen, those services may have their own terms and privacy policies.
You are responsible for ensuring that any links, embedded content or external resources you add to your screens are suitable and lawful for your intended use.
---
16. Security
We take reasonable steps to protect SchoolScreen and user data, including technical and organisational measures appropriate for the closed beta.
However, no online service can be guaranteed to be completely secure.
You must tell us promptly if you become aware of:
- unauthorised access to your account;
- a suspected security issue;
- a vulnerability;
- accidental disclosure of personal data;
- misuse of the Service.
You must not publicly disclose security vulnerabilities without first giving us a reasonable opportunity to investigate and respond.
---
17. Disclaimers
SchoolScreen is provided during the closed beta on an “as is” and “as available” basis.
We do not promise that:
- the Service will meet all your requirements;
- the Service will be uninterrupted or error-free;
- all bugs will be fixed;
- particular features will remain available;
- data will never be lost or reset;
- the Service is suitable for every school, classroom, legal or compliance context.
Nothing in these Terms limits any rights you may have under laws that cannot be excluded.

- we are not responsible for loss of data where you have failed to keep your own backup of important content;
- we are not responsible for decisions made by you, your school or your organisation based on use of the Service.
For the closed beta, our total liability to you arising out of or in connection with the Service will be limited to the greater of:
- the amount you paid us for the Service in the 12 months before the event giving rise to the claim; or
- £100.
This limitation does not affect any liability that cannot legally be limited.
---
19. Suspension and termination
We may suspend or terminate your access to SchoolScreen if:
- you breach these Terms;
- we reasonably believe your account is being misused;
- there is a security risk;
- we are required to do so by law;
- the closed beta ends;
- we decide to stop providing the Service.
You may stop using SchoolScreen at any time.
You may request account closure by contacting us.
After termination, we may delete or retain data in line with our Privacy Policy, retention schedule and legal obligations.
---
20. Changes to these Terms
We may update these Terms from time to time.
If we make material changes, we may ask you to accept the updated Terms before continuing to use SchoolScreen.
We will record the version of the Terms you accepted and the date of acceptance.

21. Governing law and jurisdiction
